Tips for Professional Conduct: Responding to College Requests on Time

 

This instalment of Tips for Professional Conduct focuses on the importance of responding to requests from the College in full and on time for licensees who are the subject of a complaint.

The Code of Professional Conduct states: “A licensee must respond fully to any communication from the College in which a response is specifically requested and must do so promptly or, if a time for responding is specified in the communication from the College, within that time.”

By providing a timely and complete response, a licensee fulfills their obligation to respond, demonstrates professionalism and helps to protect the public.

What to Do if the College Sends You a Request

Read the Request
If a licensee receives a request, the first thing they should do is read it in full. The request will include instructions regarding the information the College is seeking and the deadline. Licensees should immediately ask for clarification if they find the request unclear to prevent last-minute rushes.

Gather the Requested Information
Licensees should make sure their responses are complete. Some requests may require additional documents, while others may ask for written information or explanations. Licensees should have all the required documents and information ready before responding. This helps reduce repeated exchanges between College staff and licensees.

Respond in a Timely Manner
Every request has a deadline. The sooner a licensee responds to the request, the sooner the College can consider a response and advise on the next steps. While it may take time for a licensee to collect the information and respond, doing so within the allotted time frame helps to protect the public interest and minimize practice disruptions. Failing to respond by deadlines can lead to suspension.

RCICs and RISIAs must abide by the Code of Professional Conduct, which sets out the required standards of professional conduct and competence.
