2024 Annual Renewal

 

Every year, licensees - Regulated Canadian Immigration Consultants (RCICs) and Regulated International Student Immigration Advisors (RISIAs) - must participate in an annual renewal process to meet their licensing obligations and pay their annual fees.

The Annual Renewal Form must be completed between June 1, 2024, 12:01 am ET and July 30, 2024, 11:59 pm ET.


How do I complete the annual renewal process?

1. Gather the appropriate information detailed below:

Note : d), e), g), h) and j) do not apply to RISIAs

a) Contact information 
b) Company/Employer/Designated Learning Institution and if applicable, employee information
c) Details on professional liability insurance
d) Client Account information, including institution and account details, or Client Account exemption
e) Planned or Unplanned Designate, including the designate's licence number if they are an authorized representative
f) Continuing Professional Development (CPD ) hours completed in past fiscal year (July 1, 2023 - June 30, 2024)
g) Existing agent(s) confirmation
h) Criminal proceedings, conduct matters, or other incidents you have been involved in (or have been involved in over the past year)
i) Practice statistics
j) Provincial immigration consultant and lawyer registrations


2. Using your desktop or laptop computer, clear your browser's cookies, as they can cause the browser to autofill the fields incorrectly. If you encounter any issues, please use the Google Chrome browser.

3. Log in to the College Portal to complete your Annual Renewal form between June 1, 2024, 12:01 am ET and July 30, 2024, 23:59 pm ET. This can be done by clicking the Renew Now button on the Dashboard or by accessing the Annual Renewal section under the Professional Information tab.

If you do not complete the Annual Renewal Form by the deadline you will be assessed a late fee and may receive a notice of suspension for non-compliance.

4. Pay your annual fees invoice

 

  • Licensees not on an approved leave will receive an email on July 31, 2024, with your annual fees invoice which will be payable on the College Portal.
  • Failure to pay by the invoice deadline will result in additional penalties and suspension of licence to practise.

Planning not to renew?

RCICs and RISIAs who are planning not to renew their licence must access the Resignation section under the Professional Information tab.

 

 

FAQs

Who must complete the annual renewal?

All Licensees except those on a medical leave of absence, a retirement leave of absence, or who have the status of being resigned, are not required to complete the Annual Renewal until such time that they return to active status.

Why do licensees need to complete the Annual Renewal?

Licensees must participate in an annual renewal process to determine compliance with the College’s  By-lawsCode of Professional ConductRegulations and Policies, including all licensing obligations.

How do I pay my Annual Fees?

Your annual fees will be invoiced to you through the College Portal under the Invoices tab. Failure to complete the annual renewal form and pay by the invoice deadline will result in additional penalties and the suspension of your licence to practise.

During the annual renewal process, licensees are encouraged to review the current By-laws, Regulations, and Code of Professional Conduct.

How do I update my business or employment?

You can update your business or employment details by logging into the College Portal.

To submit a new business name for review, please log in to the College Portal and fill out the Business Name Selection Form. The form can be accessed by clicking the “Start Business Name Selection Application” button on the Business Name section, under the Professional Information tab.

To add employment, please log into the College Portal and fill out the Employment Information form. The form can be accessed by clicking the “Add Employment” button on the Employment section, under the Professional Information tab.

How do I provide information about new Agents?

To register an individual as your agent, submit an Agent Registration Application through the Agents section, under the Professional Information tab of the College Portal. The individual will be added to the Public Register if all requirements in the Agents Regulation and the Code of Professional Conduct are met.

What does the College do with the information provided by licensees?

The College will select documentation submitted by licensees for audit on a random or risk-based basis from time to time in accordance with policies approved by the Board to determine compliance with the College's By-laws, Code of Professional Conduct, Regulations and Policies, including all licensing obligations.

The College uses this information to share aggregate statistics on practice with Immigration, Refugees and Citizenship Canada (IRCC) and the Immigration and Refugee Board of Canada (IRB).


What if compliance issues are identified?

Licensees will be notified of compliance issues identified through the Annual Renewal process. Any issues must be corrected to the satisfaction of the Registrar within 30 calendar days of the date of the notice.

What happens if a licensee does not correct identified compliance issues?

A licensee is required to submit all missing or requested documentation within 30 calendar days of the date of the request.

Failure to:

  • submit required documentation at any stage of the process
  • comply with the findings, including but not limited to, completing remedial education and/or resubmitting selected documentation for reassessment within the prescribed deadlines or
  • undertake a financial inspection directed by the College within the prescribed deadlines 

 will result in suspension, and potentially revocation of licence, in accordance with the By-law.

What is the penalty for submitting the Annual Renewal Form late?

Late submissions shall be subject to a $100 fine.

What happens if a licensee is not compliant and/or does not submit their Annual Renewal Form?

A licensee may face suspension, and potentially revocation of licence, in accordance with the By-law.
